We want to ensure everyone has a safe, comfortable, and incredibly fun weekend, so we’ve put together a few guidelines for all our attendees, cosplayers, and guests.

Whether you're a seasoned con-veteran or joining us for the very first time, our top priority is creating an inclusive and welcoming space. Please take a moment to review our official policies regarding harassment, prop weapons, and general conduct. By stepping through our doors, you’re agreeing to look out for one another and help us keep the convention vibes positive, safe, and respectful for everybody.

OUR VOLUNTEER CODE OF CONDUCT

Welcome to the team! Our volunteers are the heartbeat of the convention, helping us create a safe, welcoming, and unforgettable experience for every attendee, guest, and fellow staff member. By volunteering with us, you agree to uphold the following standards:

PROFESSIONALISM & ATTITUDE

Be Helpful and Welcoming: A friendly smile and a helpful attitude go a long way. You are the face of the convention.

Stay Present: When you are on shift, focus on your assigned duties. Save extensive socializing, personal shopping, and autograph hunting for your off-hours.

Punctuality Matters: Arrive for your shift 10–15 minutes early so your team leader can brief you. If you are running late or can’t make it, notify your supervisor immediately.

RESPECT & INCLUSIVITY

Cosplay is Not Consent: Treat all attendees, guests, and fellow volunteers with absolute respect. Always ask permission before taking photos of cosplayers or touching anyone’s costume/props.

Zero Tolerance for Harassment: We are dedicated to providing a harassment-free experience for everyone, regardless of gender, sexual orientation, disability, physical appearance, body size, race, or religion. Bullying, stalking, or inappropriate behavior will result in immediate dismissal.

MULTIPASS & UNIFORM POLICY

Wear Your Gear: Your MultiPass will indicate your volunteer status. Keep your MultiPass and volunteer t-shirt clearly visible at all times while on duty so attendees can easily identify you.

Off-Duty, Off-Identity: Remove or cover your volunteer shirt when you are off-duty to allow you your own time to enjoy the con! Of course, you're always welcome to stop in and assist an attendee!

COMMUNICATION & PROBLEM SOLVING

Know Your Limits: You aren't expected to know every answer! If an attendee asks a complex question, politely direct them to the Information Desk or find a senior staff member.

De-escalate, Don't Confront: If you encounter a difficult attendee or a security issue, do not engage in an argument. Remain calm and immediately report the situation to Convention Security or a Shift Supervisor.

STANDARD SAFETY & LOGISTICS

Keep Aisles Clear: Help us maintain safety by ensuring crowd flows smoothly and that attendees aren't blocking fire exits, doorways, or high-traffic walkways.

No Unauthorized Perks: Volunteering does not grant back-stage access, line-skipping privileges for personal use, or unauthorized entry to ticketed events unless explicitly assigned to work them.

HyperCon Cosplay & Prop Weapons Policy

Welcome to HyperCon! Our mission is to celebrate fandom, creativity, and the craft of cosplay in an energetic, safe, and family-friendly environment. To ensure a seamless and secure experience for all attendees, guests, exhibitors, and crew, everyone attending HyperCon must adhere to the following costume and prop guidelines.

The HyperCon Golden Rule: Cosplay is Not Consent.

Respect personal space and boundaries at all times. Always ask for explicit permission before taking photos, recording videos, touching costumes, or initiating physical contact.

General Costume Standards

Coverage & Decency: Costumes must provide coverage equivalent to standard, family-appropriate swimwear at minimum. Overt nudity, transparent garments exposing private areas, exposed buttocks, or exposed nipples/groin are strictly prohibited on the convention floor.
Footwear Requirement: Sturdy footwear (shoes, boots, or solid-soled sandals) must be worn at all times throughout all HyperCon event spaces, concourses, and transit halls. Bare feet are not permitted.
Oversized Costumes & Visibility: Costumes exceeding 7 feet in height or 4 feet in wingspan/width, or those with severely restricted peripheral vision, must have an accompanying handler to assist with crowd navigation, escalators, and door clearances.
Helmets & Masks: Full-face coverings, helmets, and masks are welcome on the floor. However, you must be prepared to briefly remove or adjust headgear at HyperCon Registration, security checkpoints, or venue entrances for identity verification if requested by staff.
Hate Imagery & Law Enforcement Confusion: Costumes, badges, or emblems containing hate speech, historical or modern hate group symbols, or realistic uniforms that can be easily mistaken for active, on-duty law enforcement or first responders are strictly barred from HyperCon.

HyperCon Prop & Weapon Guidelines

All props, mock weapons, and oversized accessories must be checked and tagged at the HyperCon Weapons Check Desk (located in the Main Registration Lobby) before entering event spaces.

Prohibited Items (Strictly Banned)

Real Firearms & Functional Weapons: Live firearms, decommissioned firearms, blank-fire weapons, flare guns, live ammunition, tasers, and stun guns.
Airsoft, BB & Pellet Launchers: All airsoft guns, BB guns, and metal pellet launchers—regardless of whether they are unloaded, deactivated, or orange-tipped.
Live Steel & Edged Weapons: Real swords, functional daggers, axes, metal kunai/shuriken, razor blades, sharp metal spikes, or fixed/folding metal knives.
High-Tension Bows: Real compound bows, operational crossbows, slingshots, or traditional bows with a draw weight exceeding 15 lbs.
Explosives & Pyrotechnics: Flash paper, smoke bombs, sparklers, open flame, fireworks, and chemical discharge devices.
High-Powered Lasers: Class 3R, 3B, or 4 lasers, or any hand-held laser pointer exceeding 5mW.
Hard Impact Bludgeons:Metal baseball bats, iron bars, solid crowbars, or heavy leaded canes.

Permitted Props (Subject to Inspection & Clearance)

Lightweight Construction: Props built from EVA foam, thermoplastics (Worbla), 3D-printed plastic/resin, cardboard, paper-mâché, lightweight wood (balsa/pine), and hollow PVC piping.
Sci-Fi Blasters & Toy Replicas: Futuristic ray guns, blasters, and toy firearms (e.g., Nerf, water blasters) provided they are permanently deactivated, unloaded, and fitted with a high-visibility blaze orange tip.
Decorative & Foam Melee Weapons: Wooden practice swords (bokken) with no sharp edges, foam/latex swords, plastic axes, and hollow light-up sabers.
De-Tensioned Bows: Prop bows with loose elastic cords or unstrung lines incapable of launching projectiles, accompanied by foam- or rubber-tipped mock arrows.

Peace-Bonding & Security Procedures

Report to Weapons Check: Prior to entering the Exhibit Hall, Main Stage, or Panel Rooms, take all props directly to the HyperCon Weapons Check Desk.
Tagging: Approved props will receive a color-coded HyperCon Peace-Bonding Tag (tamper-evident zip-tie or band).
Keep Tags Intact: Do not remove, conceal, or modify your peace-bonding tag during the event. If your tag is damaged or detaches, return to the Weapons Check Desk immediately for re-inspection.
Floor Etiquette: Brandishing, swinging, or sparring with props is prohibited in hallways, vendor alleys, and crowded spaces. Also applies to all participants in any of the Game Shows. Posing statically for photos is always permitted.

HyperCon Cosplay Contest & Main Stage Exceptions

Participants in the official HyperCon Cosplay Showcase & Masquerade may request temporary prop exceptions strictly for their scheduled stage performance.
Stage-specific routines involving dynamic prop movement must be disclosed during technical check-in and approved by the Stage Director and Safety Crew.

Policy Enforcement

HyperCon Security and Event Staff reserve the right to inspect any prop or costume at any point during the event.
Items deemed unsafe must be removed from the venue or checked into secure prop storage for pickup upon departure.
Non-compliance, reckless brandishing, or failure to adhere to safety crew instructions will result in immediate Multi-Pass revocation without refund and removal from HyperCon grounds.

Exchange & Return Policy

Due to the nature of the autograph collectible business, all sales are ﬁnal and ALL items are sold 'as is'.

Please note that some items may have minor wear or light dents from time to time due to handling and may vary slightly in size from the generalized listing details. Please note that RompusHouse, LLC dba HyperConWV can only guarantee the Talent's authentic autograph. All personalization and placement requests are at the discretion of the Talent. This includes names, character names, quotes, inscriptions, pen color, and placement of the autograph.

If there are any issues with your order that require our attention, please contact us within 7 days of receipt of the item, Email hyperconwv@gmail.com. While we will do our best to resolve any issues, there are some matters that are beyond our control (as noted above).

For returns, the following stipulations must be met:

1. Items must be in 100% original condition (no modiﬁcations including but not limited to framing or mounting) and include all original paperwork.

2. Damaged or lost items not insured will not be replaced or accepted for refund.

3. Items must be returned to us safely and securely with the original receipt. We highly recommend insuring the item and tracking it as we cannot be held responsible for loss or damage.

4. Insured items (that were damaged or lost in shipping) will require up to 30 days
to process due to insurance carrier regulations. Front and back images of the
item(s) received along with original packaging is required for insurance claims.

HyperConWV Live Virtual Experience Orders

RompusHouse, LLC dba HyperConWV is not responsible for your Internet connection. If you are disconnected from a Video Chat session due to connectivity issues, if you miss a session, or if you are removed from the video chat due to inappropriate behavior, you will not be eligible for a refund, credit or exchange.

If your schedule no longer permits you to attend a scheduled video chat, you may request a credit up to 24 hours prior to your scheduled session.

HyperConWV Merch Store

Unless otherwise speciﬁed, all orders from the HyperConWV Merch Store are final sale and are not returnable after purchase.

HyperConWV Merch Store is not responsible for lost or stolen packages confirmed to be delivered to the address entered for an order.

Track Your Order

HyperConWV will not sell your name or personal information to third parties. But we do sometimes need to share your information with carefully selected third-party services in order to provide you with relevant experiences. Each of these tools is vetted to assure they are as protective of your data as we are.

We use your card and address information to process transactions via third-party payment processors. We don’t store your credit card information, but our payment partners may make your future purchases easier and faster.

If you use third-party services, such as Facebook, to log into your account, information must be shared with the partner for this to work. It helps you log in faster in the future and saves you time remembering your password.

HyperConWV does reserve the right to participate in cooperative database services. These services help us to direct print catalogs, mailings, digital ads, and other marketing initiatives to appropriate purchasers and website visitors.

Name and mailing addresses may be shared between participating parties in the cooperative database services, but no credit card information or other sensitive personal information is ever provided to the cooperative.

If we need to share personal information with third parties to perform services on our behalf, then the third party’s access, use, and disclosure of the personal data must also comply with EU-US and Swiss-US Privacy Shield frameworks. That ensures that companies have a standard for protecting and processing your data.

The above excludes text messaging originator opt-in data and consent; this information will not be shared with any third parties.

If you are on our mailing list and you ask us to remove you, we will do so immediately and will not attempt to sell your information. We respect your privacy.
